Terms and Conditions

 

When booking with Glassenbury Camping you are agreeing to enter into a binding contract with us.

References to ‘us’ and ‘we’ in these Conditions relate to Glassenbury Camping and Lime Tree Farm (Glassenbury) Limited.  Glassenbury Camping is a trading name of Lime Tree Farm (Glassenbury) Limited.

 

References to ‘you’ or ‘your’ relate to the person making the booking and all members of that person’s party.

 

When you book online or we email confirmation of a reservation to you, we enter into a contract with you, which is subject to these Booking Conditions.
 

Glassenbury Camping accepts no liability for loss or damage to possessions and/or personal injury. In making this booking you are accepting full responsibility for yourself, your booking party, your children and you are agreeing to abide by these Terms and Conditions.

All cars, vehicles, motorbikes, bikes or other vehicles are parked at their owners risk. Glassenbury Camping accepts no liability for loss or damage to cars, vans, motorbikes, bikes or any other vehicles.

General Booking Information


You must be over 18 year of age to make a booking.
 

Booking Form:

Booking forms are completed via the online booking system on our website. If you make a phone booking we will complete the form for you.
 

Booking Confirmation:

We will send you a booking confirmation via email. Please contact us if you do not receive this. Please check your Booking Confirmation and notify us of any errors immediately.
 

Payment:

During the processing of your completed online booking form, your deposit payment must be processed via our accepted payment options unless otherwise agreed. Your payment consists of a non-refundable deposit of 30% of the total booking amount, plus the final balance payment which is due 4 weeks before your arrival date. You have two days for your payment must be processed into our system from your bank or financial institution.  If the payment money is not received in this time we reserve the right to cancel the booking. If payment is made after we issue an invoice or series of invoices, the first 30% of the total amount owed forms the non-refundable deposit amount.

Cancellation or Changes by You:

You must let us know immediately via written email and a phone call if you need to cancel your booking.

If you cancel your booking the following applies:

  1. Cancellations made more than 30 days before the holiday start date will be subject to your 30% non-refundable deposit paid, or the total of any non-refundable deposit payment. The remainder of any of your other payments made will be refunded less bank fees.

  2. Cancellations made within 30 days of the holiday start date will not be refunde

  3. If you book via a third party organisation and not directly via our website (i.e. hipcamp, coolcamping, pitchup or glampify) they may have additional terms and conditions related to your booking. Please make yourself aware of these at the time of booking, as they are in addition to our policy regarding cancellation. We are only able to refund the portion of the booking fee we receive from the third party organisation and are not responsible for refunding any of their fees, commissions or charges.

  4. We appreciate that unexpected events occur, however, we cannot offer any refunds on bookings which are cancelled less than 30 days of arrival even if this is done because of ill health, covid, serious family matters, work commitments, travel problems or bad weather. Like with any holiday, we suggest that you should take out your own holiday insurance to cover any unexpected events that cause you to cancel your booking with us. However, we will try our very best to accommodate requests to transfer the amount paid to another set of dates within the same camping season, however, this may not always be possible and will depend on amount of notice given and availability at the time of the request. In the event of bad weather and the campsite remains open, we cannot offer a transfer or refund. Deposits or full amounts paid cannot be ‘rolled-over’ to another camping season. 
     

Cancellation due to unforeseen circumstances:

We are not liable for refunds or expenses you incur in the event we are prevented from fulfilling your Booking as a result of circumstances beyond our control. Such circumstances shall include (but not be limited to) war, terrorism, riots or civil unrest, industrial action, flooding, natural disaster, epidemics, notifiable diseases, health risks or such similar events (“Force Majeure”). We strongly recommend that you have adequate holiday insurance in place to cover this.

Group Bookings:

Group bookings have separate terms and conditions which will be provided to you when you enquire with us. Groups of 8 or more must contact us prior to booking.
Cancellations of individual bookings making up part of a larger booking are subject to any additional specific terms and conditions agreed for the group booking.

Cancellation or Changes by Us:

Once we have issued you with a confirmation, we will do our best not to make any changes or cancel your booking.
However please note that sometimes changes do occur before or after bookings have been confirmed, and very occasionally confirmed bookings have to be changed or cancelled. We promise to do all we can to avoid changes and cancellations but must reserve the right to do so.

 

Special Requests

If you have special requests or needs, you are responsible for telling us at the time of booking. 
​If you have a disability that may affect your stay at Glassenbury Camping please tell us before we confirm your booking. We will do our best to accommodate you but will let you know if we are not able to meet your needs.


Travel Insurance

We recommend insurance to cover cancellation, loss, damage or injury.
As a small business we cannot be liable to act as your insurers and rearrange your stay due to your changes in personal circumstances.

 

Dogs

Owners must take full responsibility for their dog at all times.

Dogs must be kept on the lead at all times while at the campsite. Any owners of dogs found to be off lead will be asked to leave the campsite with their dog with no refund being provided.

With families and children on site, it is essential that owners clean up after their dogs.  Failing to do so, the owners and their dogs will be asked to leave the campsite with no refund provided. 

The owner of any dog which shows aggression towards other animals or people will be asked to immediately remove their pet from the campsite which could lead to your stay being ended early with no refund being provided by Glassenbury Camping.  

Arrival and Departure
  1. Tent Pitches – Arrival times for Tent Pitches are between 13:00 pm and 19:00 pm. Tent Pitches must be vacated by 11:00 am on the departure date. Please let us know in advance if you expect to arrive late or are delayed.

  2. Glamping – Arrival times for glamping accommodation is between 15:00pm and 20:00pm. These must be vacated by 11:00 am on the departure date. Please let us know if you expect to arrive late or are delayed.

  3. The campsite gates will be closed and locked between the hours of 21:00pm - 7:00am for your safety and security.
     

Noise Policy and Behaviour

Glassenbury Camping is a peaceful site not a party site and we ask you to be respectful of others with noise levels kept to a minimum after 9.30pm and before 7.30am

We reserve the right to terminate the remaining booking of a guests who have caused complaints or whose behaviour is deemed to be unacceptable by our on site staff.  This includes, noisy and disruptive behaviour, wilful damage to the site or accommodation, rudeness to our staff and guests.No refunds or compensation will be given in these instances and you will be asked to leave the site.  

Small portable speakers or acoustic instruments are permitted but should be at a low volume level that does not disturb others. All music must be turned off from 9.30pm.

We reserve the right to ask you to lower volume or turn off your music if this is causing disruption to other campers.

Loud amplified music is not permitted on the campsite.
 

Your safety

By booking with Glassenbury Camping you are acknowledging that you are aware of the risks, hazards and dangers of entering the campsite.

  1. Our campsite is adjoining or near to agricultural land used for farming and forestry. Campers must not enter these areas whilst staying with us.

  2. Glassenbury Camping is surrounded by farmland and woodland. However, this brings with it the risks associated with wild animals and poisonous plants. We accept no responsibility for any injuries or illness that you suffer as a result of bites, stings or from eating or playing with poisonous plants. If in any doubt, please always ask us, and encourage your children not to touch plants or animals that you or they cannot positively identify.

  3. Children are free to explore the site, but they remain their parents responsibility at all times.

  4. We will not be held responsible or liable for any accident, loss or damage whatsoever to persons, vehicles, tents, accessories or contents during your stay with us.

  5. Our campsite perimeter includes some steep slopes, rough terrain, trees, brambles and other natural hazards. Depending on the weather, conditions can be cold, wet, slippery or hot, dry and brittle.

  6. We trust that you appreciate we can take no responsibility for the weather conditions at the time of your visit. We recommend that you come prepared with suitable clothing and footwear, so that you can enjoy the charm of the natural environment in all its diversity.

  7. The flying of kites and drones is prohibited.

  8. Glassenbury Camping reserve the right to close the campsite in extreme or dangerous weather conditions. 

  9. The use of gas cookers, gas heaters or naked flames is not allowed at any time in the Bell Tent accommodations that we offer or within your own tents whilst on the campsites. This is due to the risk of fire and carbon monoxide poisoning.

  10. Fireworks, Chinese lanterns, weapons, generators and dangerous materials or substances are not allowed on the campsite.

The Car Park

The car park for the campsite is located near to the campsite pitches. Directions and how to find the car park are found either in the links sent to you via email prior to your arrival, or on the booking confirmation sent at the time of your booking. All guests and any additional guests visiting the campsite may only park in the designated car park area. All cars, vehicles, motorbikes, bikes or other vehicles are parked at their owners risk. Glassenbury Camping accepts no liability for loss or damage to cars, vehicles, motorbikes, bikes or other vehicles.
 

Cleaning Policy

We ask that you leave your tent pitch, glamping accommodation, or areas you use within the campsite in a clean and tidy state upon your departure. It is a condition of your stay in all glamping accommodation that you wash all cooking equipment and dishes used during your stay. Thank you for your cooperation with this. We reserve the right to charge a cleaning cost if your glamping accommodation, tent pitch or any area used within the campsite are not left in the same condition as originally found.  Group bookings that leave accommodation or campsite areas in an untidy state may forfeit an amount of their security deposit to pay for their cleaning costs.

Rubbish Policy

Glassenbury Camping has provision for recycling so please separate your rubbish and use the bins provided.

We are an off-grid campsite, where we have limited rubbish collection, we therefore ask you to take home your rubbish with you. Rubbish bins are supplied with our glamping accommodation but please separate your recycling. We provide recycling bins at the Campsites for your use, however in peak times these may become full, requiring you to remove all rubbish. Thank you for your understanding.
Group bookings that leave rubbish may forfeit an amount of their security deposit to pay for their rubbish removal.

Additional Day Guests

With prior approval it may be possible for additional guests to visit the site between 11am and 6pm. If we are at maximum capacity onsite we may not be able to approve your day visitors. 

There is a small charge per guest. 
 

Smoking

No smoking is permitted inside our Bell Tent accommodations or within the shared campsite facilities.
 

Campsite Staff

It is a condition of your booking that you agree to follow the directions of our wardens and staff.
There will be staff at the campsites at all times that are responsible for the following:

  1. ensuring noise is kept to a minimum during evening hours

  2. cars are parked in the correct areas

  3. campsite rules are adhered to

  4. security of the campsite and surrounding areas

  5. no loud electronic, amplified music or percussion is played.

We kindly ask for you and your guests to cooperate with our staff, they are here to help to ensure the safety and enjoyment of you and others around you.
 

General Agreements
  1. You agree to look after the glamping accommodation, tent pitches and campsite facilities. This means you must keep all furniture, fittings and effects, (inside or outside) in the same state of repair and condition as at the start of your booking, and you agree to leave it clean and tidy. If you break these conditions we may make an additional cleaning charge and/or make a claim against you for repair or loss as a result of damage caused.

  2. You are expected to show due consideration for other people, including other guests, local residents and our staff. If you abuse the property or display dangerous or offensive behaviour towards the staff, landowners or any third party, we may refuse to allow you access to the property or ask you to leave before the end of the holiday. If this happens we will treat your booking, as having been cancelled by you and you will not be entitled to any refund.

  3. You are in a natural environment and as such you agree to respect the land. Any damage, wilful or negligent, will be taken seriously and may result in you and your party being requested to leave the campsite. In such cases we will treat your booking as having been cancelled by you and you will not be entitled to any refund.

  4. You must allow us access to the glamping accommodations at any reasonable time during your stay.

  5. The number of people using the glamping accommodation and tent pitches must not exceed the number agreed when booking.
     

Firewood

Campers may purchase firewood in advance or as required. You must not collect firewood from the campsites or surrounding woodland areas. Fallen dead wood provides a natural habitat for many creatures. Please use only firewood supplied by Glassenbury Camping.
 

Liability

Our main aim is for you to enjoy your stay with us!  If you have any problems during your stay, please let us know immediately so we can try and rectify them out while you are here. If you have any complaints thereafter, please address them to;

  1. We are under a legal duty to supply services that are in conformity with this contract and in accordance with the Consumer Rights Act 2015 (the Act).

  2. Glassenbury Camping or their staff or business partners shall not be liable for any loss or damage to visitor’s property, however caused. We accept no liability for injury sustained to any party whilst on our campsites.

  3. We are only responsible for losses that are a natural, foreseeable consequence of our breach of these terms and conditions.  We do not accept liability if we are prevented or delayed from complying with our obligations set out in these terms and conditions by anything you (or anyone acting with your express or implied authority) does or fails to do, or is due to events which are beyond our reasonable control.

  4. Furthermore, we do not accept liability for any losses related to any business of yours including but not limited to: lost data, lost profits, lost revenues or business interruption.

  5. Notwithstanding the foregoing, nothing in these terms and conditions is intended to limit any rights you might have as a consumer under applicable local law or other statutory rights that may not be excluded nor in any way to exclude or limit our liability to you for any death or personal injury resulting from our negligence.

Unless otherwise expressly stated in these terms and conditions, all notices from you to us must be in writing and sent to our contact address at glassenburycamping@gmail.com

All notices from us to you will be displayed on our website from time to time or sent via email.

Changes to terms and conditions

We reserve the right to change these terms and conditions from time to time and you should look through them as often as possible.

Campsite Rules


Cars/Vehicles
We allow vehicles on site but we have a designated area to park within the field to ensure safety to all of our campers.

Car parking is in the parking area only.

If you have issues with mobility and you need help to take your luggage to your pitch this is no problem at all, please call ahead of your stay so we can arrange to help you when you arrive.


Caravans/Motorhomes

We do not accept caravans or motorhomes onsite as we have no chemical toilet's or electric hook ups

Dogs

Well behaved dogs are very welcome! Each booking can have a maximum of 3 dogs per booking.  

Dogs must be kept under control and on leads at all times whilst on site.

We reserve the right to terminate bookings of guests whose dogs are the subject of complaints or persistently cause disturbance.

For the wellbeing of other guests and children, all dogs’ owners must clear up after their dogs. There are red bins onsite for bagged up dog waste.

Mobile Signal/Wifi

Mobile signal is usually good on the majority of networks. Wi-Fi is not available.


Recycling rubbish 

Recycling is very important to us at Glassenbury Camping.

Recycling facilities are provided on site, including at our Bell Tent accommodation.

Please recycle everything possible. 

Guide notes are provided for the waste types at each of the bin stations.


Outdoor cooking and campfires

We welcome campfires as long as they are in suitable off-the-ground fire pits

Fire pits are available on site free of charge.

Sustainable local wood is available to purchase onsite. Please do not gather firewood from around the site. Fallen wood provides a natural habitat for wildlife, and damp or rotting wood does not burn well and causes lots of smoke which is not enjoyable for other guests.

BBQ's are permitted


Smoking & Vaping​

Is not allowed in any of our glamping accommodation or in the communal fire pit area. 

Please put all cigarette butts in the bins provided. Cigarette butts take up to 10 years to decompose and are very harmful to the land.
